Meetings with clients, scheduling new appointments, going for inspections, attending industry events – you have so much to do as a real estate broker. 

Amid these tasks, how will you handle multiple clients? Real estate is a competitive business. You can’t stick to a single client for a potential deal. You might have to deal with multiple clients during property dealings. You will have to deal with more clients as you expand your business. Phew! It can be overwhelming and frustrating. But as a broker, your patience is the key.

Work as per Daily Routine 

It might sound cliche, but you can work according to your routine. With a set routine, you go according to a plan. For instance, you can allocate different tasks based on routine. Know when you need to complete admin tasks and when you need to meet the clients. Also, set your routine based on your timing. 

Use Project Management Tools

Tech integration can help you to focus on multiple tasks at a time. How? With so many tools available, you can integrate with them to simplify your tasks. 

Project management tools or CRM software can help you to allocate tasks for the day. Tools like Asana and Trello are handy in keeping up with the time. Your team can manage client schedules through these tools. Also, with constant notifications, you never miss a thing. 

Managing multiple clients can be challenging, but project management tools can help. Using these tools, you can create and monitor different projects. As a broker, keeping things organized is tricky, and here’s when you can use the power of tools. 

With this, you can see upcoming deadlines in one place, which saves time. Project management tools can help to standardize your workflow so that you can focus on vital business tasks. If you work with different brokers on a property deal, you can collaborate for task delegation. 

Use a Calendar for Appointments 

With multiple appointments, you will need to keep track of the calendar. You can use two types of calendars based on your needs. One is a paper calendar (the regular one). With the help of a pen, mark all the appointments for the day. Most paper calendars come with day tasks, and you can easily mark your appointments to track your tasks. 

The second one is the digital calendar. Of course, people use this more because of easy access. Digital calendars also send you notifications so that you always stay in the loop. Plus, digital calendars can schedule meetings automatically, so you don’t have to worry about the time. 

You can schedule your meetings through Google Calendar, which offers many integration features. The ability to set reminders in the calendar helps you save time. You can manage appointments conveniently with these calendars. 

Prioritize your Tasks 

Do you think all tasks are significant? It’s essential to prioritize your tasks for the day. If the task is not urgent, you can leave it for another day or schedule it later. Always prioritize based on the urgency of the task. Instead of letting your clients set the pace, you prioritize what you must do. 

For instance, you can prioritize clients based on preference. If a particular client has requested you for an early inspection, you can prioritize that client. Also, some clients are demanding, so you need to be patient with those clients. Try avoiding clients that are demanding. 

Plan your Day Ahead 

There will be days when you have to handle multiple clients and appointments. To save yourself from the situation, you can plan your day. Of course, your clients can be flexible regarding timings. Allocate time according to client preference. For instance, some clients may be busy in the mornings and some in the evenings. 

When you ask about the time, you can plan your day accordingly. Planning your day is not tricky; it will take a few minutes. Once you plan your day, you can allocate more time to other business tasks. It’s essential to stay focused and dedicated. 

Keep Different Records 

Keep different records for different clients. Didn’t get the deal? If you separate client records, you can simplify your tasks. In real estate, you must keep a record of all the documents and files. Digital records may take time. But with an efficient team, you can manage digital records. 

If you keep a manual record, give descriptive titles to all the files and folders. With different records, you can avoid confusion. Better still, you can set up a plan for each client to prevent confusion later. If the deal is significant, setting a plan is essential. You can simplify your workflow by setting up records for clients. 

Communicate With Them

It might sound cliche, but active communication is the most vital aspect of the real estate business. By keeping your clients on the hook, you can crack the deal faster. For this, you can ask them what convenient communication means. If a client feels comfortable talking on the phone, you can call that client. 

Some clients prefer messages or WhatsApp conversations, and you can communicate with them on WhatsApp. The idea is to involve them in your dealings for transparency and flexibility. Communication also fosters good client relationships. 

Handle clients effectively, 

Handling multiple clients is a part of the real estate business. How you do it matters the most. Setting a schedule and managing time allows you to manage many clients simultaneously. 

Also, I need to be patient while dealing with different clients, as not all clients have the same approach to deals. As a part of your job, you can use various tools to handle clients.
